Offer letters and onboarding, signed before day one.

A fully customised offer letter written in Word, the employment contract, tax and banking forms, policy acknowledgements. One envelope to the new hire, one approval from the manager, done.

Offer letters
Written in Word with text tags; every offer different, every field found.
Onboarding forms
Banking, tax, provident fund, emergency contacts — filled once.
Contracts and statutory forms
Employment contracts, EEA1 — tables and all, every cell named.
Policy acknowledgements
Initial each, one sitting, one record.
Text tags

Write the offer letter in Word. The fields are already in it.

Every offer is different — title, salary, start date, notice period, a clause the manager insisted on. Type the letter as you always have, and where a value or a signature goes, type a tag. Upload the DOCX and Vumasign turns each tag into a field bound to the right person. Adobe-style and Dropbox-Sign-style grammars both work, so templates you already have carry over unchanged.

Conditional clauses drop out cleanly when they do not apply. No blank line, no “N/A”. Tags are white-on-white in the final PDF if you prefer — the letter looks exactly as you wrote it.

One envelope

Six documents, three people, one sitting.

The new hire opens one link and works through the pack in order. The manager approves after them. Values typed once appear on every form that asks for them, because the fields are bound to a person rather than to a page.

Priced per envelope — the whole pack counts once.

The forms with tables, not signature lines.

EEA1 has fifteen tables. Payroll and provident fund forms arrive as DOCX with merged cells and repeating rows. Field discovery was built against those, not against a two-page NDA.

Every cell named
A table cell is a field with a name, not a rectangle somebody drew on top of one.
DOCX in, PDF out
Upload the document your payroll provider sent. The sealed copy is a PDF with an audit trail.
Filled once, everywhere
An ID number typed on page 1 appears on pages 4 and 7 without retyping.
Data residency

Employee data does not leave the country to get signed.

An offshore signing platform moves every new hire's ID number and banking details out of the Republic on every send, and your information officer has to justify it under POPIA s72. Vumasign processes in Google Cloud africa-south1, Johannesburg, under an operator agreement.

How we talk about POPIA
Your new hire
Johannesburg
Your HR system
ID numbers, tax numbers, banking details and next of kin stay in South Africa. No POPIA s72 transfer to justify — on any plan.

Priced by the envelope. A six-document onboarding pack counts once.

R7 on Team, R5 on Business, published. Building signing into your own product? The API plan is R500 a month with 50 included, then R10 each.

Sign a real document. Then check the seal yourself.

No account. Sign, download the sealed PDF, open it in Adobe Reader and watch the signature validate. That is what a recipient's lawyer will do in two years.
